Responsibilities
- Serves as the primary hospitality and client experience lead for meetings, workshops, leadership sessions, and special events.
- Greets clients, partners, and guests with professionalism and warmth, ensuring every interaction reflects a high standard of service and hospitality.
- Coordinates and manages all meeting logistics including room setup, hospitality, schedules, materials, technology, catering, and client accommodations.
- Anticipates executive and client needs proactively and resolves issues quickly, calmly, and professionally.
- Supports leadership with administrative coordination, calendar support, scheduling, travel coordination, vendor communication, and operational follow-through as needed.
- Owns and executes special projects, operational initiatives, and growth-related responsibilities assigned by leadership.
- Maintains presentation standards across meeting spaces, hospitality areas, office environments, and client-facing materials.
- Acts as a liaison between leadership, clients, vendors, and team members to ensure smooth communication and execution.
- Assists with business development support tasks, event coordination, and relationship-building initiatives.
- Tracks details, follows through consistently, and ensures nothing falls through the cracks.
- Maintains confidentiality and discretion while handling sensitive business or client information.
- Continuously looks for opportunities to improve processes, elevate the client experience, and support organizational growth.

Skills & Qualifications
- Bachelor’s degree preferred or equivalent professional experience.
- 3+ years of experience in hospitality, executive support, client relations, luxury service, event coordination, operations, or a similar high-touch environment preferred.
- Exceptional communication and interpersonal skills with the ability to build trust and rapport quickly.
- Strong executive presence with polished professionalism and high emotional intelligence.
- Highly organized with exceptional attention to detail and follow-through.
- Demonstrated ability to manage multiple priorities and adapt quickly in fast-paced, evolving environments.
- Ability to think proactively, anticipate needs, and solve problems independently.
- Comfortable supporting executives, high-level clients, and leadership teams with confidentiality and discretion.
- Strong project coordination and organizational skills with the ability to execute tasks from concept to completion.
- Proficiency with Google Workspace, Microsoft Office, scheduling platforms, video conferencing tools, and general business technology.
- Ability to lift and move supplies, assist with event setup, and remain active throughout the workday as needed.
